123 HP OJPro 8740 – Solve Scanner Setup Problems

When you are unable to scan to email

  • If you haven’t set your email profile properly, users will be unable to scan to email. Ensure that the outgoing SMTP server settings are valid.
  • Also, make sure that you enter email addresses without any mistake. If the address is not valid, the email message might be sent to some recipients but not to others. Users can also check the inbox for any delivery notification failure.
  • Be careful when you send large email messages. Sometimes, the email servers may reject those messages which are larger than a pre-determined size. If certain limit is fixed for the email attachment size, set it to the maximum so that you can send messages of any size.

When the fax hardware test fails

  • Press the Power button to switch off the printer and then unplug the power cord from the wall socket. Wait for five minutes to replug the cord and then switch on your HP Officejet Pro printer. Now, run the fax test again. If the test fails once again, read the instructions to solve the problem. Otherwise, call us on our toll-free number to troubleshoot the printer.
  • Send or receive a fax. If you can send or receive a fax successfully, the problems with your printer are resolved.
  • When you are running the fax test, ensure that your HP Officejet printer is not involved in completing another task. If your 123 HP Officejet Pro printer is busy, wait for the task to be completed and then run the test from Fax Setup Wizard (Windows) or HP Utility (OS X).
  • Use the phone cord that came with the printer. If the phone cord doesn’t suit the printer, you might be facing problems while sending or receiving faxes. Replug the cord and then run the fax test once again to eliminate the problems.
  • Make sure you do not use phone splitter. Connect the printer directly to the telephone wall jack.

  • The connection between the wall socket and the printer should be secure.
  • Use the phone cord that came in with the printer. If the supplied phone cord is not used, you may not be able to send or receive faxes.
  • Use one end of the phone cord to the electrical wall socket and connect the other end to the port that is labelled 1-LINE at the back of the printer.
  • Using a phone splitter might cause problems while sending or receiving faxes. Remove the splitter and connect the printer directly to the wall socket.
  • Connect a working phone and phone cord to the wall jack, which you are using for the printer. Now, check for the dial tone. If you do not hear a dial tone, check with your telephone service provider.
  • Try sending or receiving a fax test. If you are able to do that successfully, then the fax problems are resolved.

  • Use the supplied phone cord that came with the HP printer to connect from telephone wall jack to the printer. If you are using some other jack, then the printer may not be able to send or receive faxes. After fixing, run the fax test once again.
  • Do not use phone splitter to send or receive faxes. Remove the splitter and connect the printer directly to telephone jack.
  • Connect one end of the cord to the telephone wall jack and the other end to the port that is labelled 1-LINE at the back of the printer.
  • After connecting the lines properly, run the fax test and make sure the printer passes the test.
  • Now, try to send or receive a test fax.

When the ‘Using Correct Type of Phone Cord with fax’ test fails

  • The connection between the telephone wall jack and the printer should be secure.
  • Use the supplied phone cord that came with the HP printer to connect from telephone wall jack to the printer. If you are using some other jack, then the printer may not be able to send or receive faxes. After fixing, run the fax test once again.
  • Connect one end of the cord to the telephone wall jack and the other end to the port that is labelled 1-LINE at the back of the printer.

When the ‘Dial Tone Detection’ test fails

  • If the phone line is used by any other equipment, then the dial tone detection test may fail. In that case, disconnect the extra equipment from the printer and run the test once again. Try adding one equipment at a time and keep rerunning the test everytime when you add an equipment.
  • Connect the phone cord and the working phone to the printer and check for a dial tone. If you cannot hear a dialtone, the call your telephone service provider and check with them.
  • The connection between the telephone wall jack and the printer should be secure.
  • Use the supplied phone cord that came with the HP printer to connect from telephone wall jack to the printer. If you are using some other jack, then the printer may not be able to send or receive faxes. After fixing, run the fax test once again.
  • Do not use phone splitter to send or receive faxes. Remove the splitter and connect the printer directly to telephone jack.
  • Make sure that the telephone system is using a standard dial tone like PBX systems.
  • Also, the country/region setting should be set appropriately. If it is set incorrectly, then the fax test might fail.

When the ‘Fax Line Condition’ test fails

  • Connect your printer to an analog phone line or else you cannot send or receive faxes. If you want to know that your phone is in digital or analog line, listen to the dial tone.
  • User must establish a secure connection between the printer and telephone wall jack.
  • Connect one end of the cord to the telephone wall jack and the other end to the 1-LINE post at the back of the printer.
  • If you use other equipment on the same line, then it might cause problems when you send or receive faxes. Follow the steps to find if the other equipment is hindering the fax job.
    1. When the Fax Line Condition test passes without the use of other equipment, then there is a possibility that one or more pieces can cause problems. Add the equipment one by one and rerun the test to avoid the problem.
    2. When the Fax Line Condition Test fails without the use of other equipment, then connect your printer to a phone line and look t the troubleshooting information.
  • Do not use phone splitter and connect the printer directly to the telephone wall jack.
  • Use the supplied phone cord that came with the HP printer to connect from telephone wall jack to the printer. If you are using some other jack, then the printer may not be able to send or receive faxes. After fixing, run the fax test once again.
